Office Manager

$22.00-$24.00/hr

 Manage day-to-day functions of office to ensure all constituents’ needs met.

• Manage phone system, ensuring its operation at all times and providing for timely call response

• Manage hard copy mail and general email inbox efficiently responding and moving materials to appropriate persons

• Ensure strong controls exist to track and document funds received; ensure timely bank deposits

• Provide general support to visitors

• Provide a wide variety of administrative support based on prioritized projects

• Manage contract and price negotiations with office vendors and service providers

• Oversee electronic and hard copy filing system organization with a keen eye towards filing logic and the ability to train others to ensure filing protocols followed; ensure record retention management implemented

• Serve as Salesforce power user with absolute commitment to correct data and following protocols, including helping document and improve broken systems • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office and any other back office needs   

• Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement

• Ensure office is organized and clean, all equipment is functioning, and office supplies are stocked to meet staff and volunteer needs

• Serve as point person with others inside and outside the organization for all non-construction purchasing, equipment, facilities, mailing, and shipping

• Supervise and provide an outstanding experience for volunteers who provide office support

• Facilitate internal communication (e.g., schedules, updates, announcements, etc.)

Qualifications:

• Associates degree required; BA/BS or 5+ years in office management preferred

• Experience working in legal, real estate, construction developer, or lending environment preferred

• Demonstrated ability to organize electronic and hard copy files using clear labels and a logically organized system; items need to be easy to file and easy to find

• Excellent attention to detail and personal organization

• Strong ability to work in a multi-task environment, handle changes in priorities and anticipate needs

• Excellent customer service skills and a facility to interact with a variety of people

• Strong computer skills especially in constituent relationship management systems, Excel, Word, OneNote and the internet; Salesforce and Sharepoint experience preferred

• Preference for technology solutions; strong problem solving skills for technology and process challenges including ability to identify, evaluate, address, and overcome operation challenges

• Appreciation for the support the public provides for the mission resulting in absolute commitment to financial integrity

• Discretion with confidential materials mandatory

• Must be willing to complete Qualified Loan Originator training requirements

• Commitment to problem solving, continuous improvement, curiosity and personal development

• Ideal candidate must be highly organized, self-motivated, able to work independently as well as collaboratively, and have strong interpersonal, communication, and diplomacy skills

• Personal volunteer experience
